  • What notes can be generated?
    SOAP, BIRP, DAP, a summary of the session as well as the key themes covered are available for every session by default. If you need different progress note such as SIRP or a unique template, SessionAid also supports custom templates you can easily create to meet your particular requirements.
  • Is it easy to create Custom Templates?
    Yes, it's been designed to be very simple. The SessionAid template wizard will walk you through setting up your custom template in a few short steps. You can either have an automatic template draft created for you by entering your specifications and guidelines or you can manually add a template you already are using in your practice
  • What personal data do I need to enter about my clients to begin a session?
    It's simple, just their name. We have taken a bare minimal approach to the collection of personal information of your clients. Since we are not a long term storage solution, we only need to be able to match a client's name to the session data and notes. As a result, information such as address, social security number or other personal details are not needed to generate the notes with our current system.
  • Can I edit the notes SessionAid generates?
    Yes. The notes that are generated are drafts that are designed to be reviewed, edited and saved directly in SessionAid. However, we encourage you to export your reviewed notes into your EHR or other sources you use for record keeping.
  • What type of Custom Templates does SessionAid support?
    Our custom template wizard has been designed to create templates for you that will meet just about any requirement you can have for your progress notes. This means you can use a more standard note type, such as SOAP, DAP or SIRP, or even a template you currently use that is unique to your practice's needs.
  • How much data is needed for good note generation?
    The easy answer, the more the better. Obviously for session recordings or transcripts from Telehealth, those will encompass the entire session. If you are doing dictations or uploading your own notes, then work to be as complete as possible in your summaries.
  • Can I use SessionAid without uploading PHI?
    Yes. You have a couple options: Dictations - You can record dictations from your session without disclosing any PHI Typed Notes - You can upload typed notes you need converted to progress notes that don't include PHI
  • Can I delete notes or sessions from the server?
    Yes. In fact, you have complete control over the data that is in your SessionAid account and are free to delete session data whenever needed.
  • How do I get my session data to SessionAid?
    SessionAid is a HIPAA compliant web-based platform, so there is no software to install. We've designed SessionAid to be easy to use for the way you work. Most people record their first sessions after just a few minutes of getting started. With that in mind, we have a number of options to use SessionAid: 1) Record an in-person session live directly with your device (laptop, tablet etc.) 2) Record a dictation 3) Upload your typed written notes from the session 4) Upload a transcript or audio recording from a Telehealth session (many telehealth platforms have options to do this). Note: we can't process video recordings at this time. 5) Upload previous audio recordings (dictations or sessions) you may have created outside SessionAid.
  • What sources can notes be generated from?
    SessionAid's HIPAA compliant platform uses AI to generate notes from audio recordings (dictations, live sessions or pre-recorded sessions), session transcripts (often generated by Telehealth platforms) or even your own notes.
  • Do I have to record my client sessions to use SessionAid?
    No, there are alternatives if you prefer not to record. SessionAid is designed to be used the way that works best with your workflow and your clients' choices. You have multiple options beyond recording sessions to use SessionAid. 1) You can record dictations directly into SessionAid via your web browser. 2) You can upload your typed written notes 3) If you have previously recorded digital audio files of dictations those can also be uploaded.
  • Is SessionAid a long-term storage service?
    Currently, we are not. While your notes will stay on SessionAid's servers until you delete them, or you no longer have an account with us, currently, we are not designed as a long-term storage system. You can either download your records from SessionAid or simply cut and paste them to your EHR platform or record storage system you use. (Full details are in our Terms of Service which are available when signing up for an account.)
  • I am not technical, is this hard to use?
    We have designed SessionAid to be as easy to use as possible. If you are comfortable using the web you should be fine! We also have a detailed support website that will guide you step-by-step on questions you have.
  • Does SessionAid use client data for "training the model"?
    You may have heard of this term in conversations around Artificial Intelligence. It refers to data that is used to help an AI model understand and interpret data, similar to the way humans might learn. We want to be very clear, unlike other platforms, SessionAid does not use any personal client data to improve the "AI engine" that processes your transcripts and uploaded notes. If this does change in the future, you will be given notice ahead of time, as well as the ability to opt out of sharing any data.
  • Does SessionAid require any software installation?
    There is no software to install. You can easily record audio within SessionAid in your web browser for in-person sessions and dictations or upload audio or text files as needed. If you use Telehealth, all that will be required is to download a transcript or audio file from your session. (At this time, we are unable to process video files.)
  • What do I need to be able to record sessions or dictations?
    The first rule is the better the audio, the better-quality results you will get. Laptops, desktops, tablets or phones can all work as recorders. If you have an external microphone that connects to your device, that will be a great option as well. Anything with a web browser that follows your HIPAA device policy should work.
  • Does this work with Telehealth?
    If your Telehealth platform can either generate a transcript you can download or an audio file as an MP3 or other select audio formats SessionAid will work. (Note: we can't process video files.)
  • How is the way SessionAid charges different?
    Unlike other therapy note generation companies, all of your note generation per session in the Charter Program is included in one session credit. For each session you are really getting up to 5 AI generated notes between a SOAP, summary, key themes and topics, BIRP and DAP. With others, you could be paying by the note, we are charging by the session.
  • So sessions rollover to another month?
    No, they do not. Your paid subscription is month-to-month and you will get the same number of sessions at the beginning of the period. Any unused sessions do expire.
  • How much does it cost?
    Current pricing and feature details are available on our homepage.
  • Is SessionAid available outside the US?
    Currently we are only working with licensed therapists and counselors in the US.
  • Where are you located?
    We are based in Arizona and currently 100% of the development of SessionAid is done in the United States.
  • How can SessionAid offer so much for so little?
    Our goal is to help as many therapists as we can. We may not have as many features as some platforms, but from our user studies and testing, we are working to provide the features that most people find useful to help prevent burnout and free up time. That goal is reflected in our simple pricing for note generation to make it a very affordable option.
  • Does SessionAid work with languages aside from English?
    To date, SessionAid has only been tested with English speakers, but please email us to discuss your use case on how we may be able to help if you provide therapy in other languages.
  • What is the story behind SessionAid?
    SessionAid's genesis came as a result of both personal experiences and many conversations with therapists through the US. The founders realized there had to be a way to help decrease burnout and provide access to care for more people in need. That was when the "AHA" moment struck!. With AI emerging as a technology poised to make real change in the world, the company started a journey toward seeing how it could best use technology to advance mental health care.
  • What if I am student and/or intern who has not received my professional license yet?
    As long as you are under the supervision of a licensed mental health care professional, you can use SessionAid. We would need them to sign the BAA and provide their license number for verification. Once that is complete, you will be given access.
  • Do you offer a Free Trial?
    Yes! We have a Free Trial.
  • Are you HIPAA compliant?
    Yes. We have strict internal policies and procedures to follow HIPAA. Additionally, we have a contract with an outside company that are experts in HIPAA to help with the various facets of HIPAA compliance.
  • How do you keep my data safe?
    We take your data security extremely seriously. We use a Microsoft service used by many of the largest companies in the world called Azure for processing and storing your data. We have established policies and procedures that spell out a comprehensive plan for data security and follow HIPAA and other best practice guidelines.
  • Do you have a Business Associate Agreement (BAA)?
    Yes, in fact we are required under HIPAA to have a BAA (Business Associate Agreement) with all Covered Entities (i.e. our clients).
  • Can you tell me more about data deletion?
    Due to HIPAA compliance and our disaster recovery policies for safeguarding your data, data may not be fully removed from our secure backup system for up to 30 days. For these special backups, Practitioner Data is stored in a special manner and data is not useable in the SessionAid platform once it has been deleted from Practitioner’s account. Note: The audio recording is deleted after 48 hours and then is moved to the backup systems mentioned above.
